How to reach a real person on the phone, or have AI do it

Short answer: Press 0 or say "representative" at the menu, choose sales or new customers (answered fastest), and call when the line opens or mid-week. If a route dead-ends, try another next time. Or hand it to your AI agent: CallForMe works the menu, waits on hold, tries another route after a dead end, and patches you in when a person answers.

Phone menus aren't designed to connect you to a person quickly. They're designed to answer the common questions without one. When yours isn't a common question, these are the things that usually work, roughly in the order to try them.

At the menu

  1. Press 0, or say "representative". On many menus 0 goes to an operator or the front desk. At a voice menu, "representative", "agent" or "speak to someone" often skips ahead. If it replays the menu, try once more, then move on.
  2. Pick the option for new customers or sales. Those lines are answered fastest. Ask the person who answers to transfer you, and ask for the department's direct number first in case the transfer drops.
  3. Choose the option closest to "cancel" or "something else". Cancellation and retention lines are usually staffed, because businesses don't want to lose you.
  4. Don't enter account numbers you don't have. Some menus loop until you type one. Saying "I don't have it" or pressing # often moves you forward.

Timing

  • Call right when the line opens. The queue is shortest before the day's calls pile up.
  • Mid-week beats Monday. Tuesday to Thursday mornings are usually quietest. Avoid lunch hours and the day after a holiday.
  • Use the callback option if they offer one. You keep your place in the queue without listening to hold music.

If you hit a dead end

  • Take a different route next time. If "billing" led to voicemail, try the operator, the front desk or sales on the next call.
  • Try another location or department line. A branch, a store or a regional office can often help or give you a direct number.
  • Ask for a name and a direct line before you hang up, so the next call starts with a person.

Let your agent do it

This is the kind of call CallForMe is built for. Tell your agent who to call and what you need, and CallForMe's assistant:

  • works the phone menu, pressing keys and speaking to voice menus;
  • waits on hold for you, up to 30 minutes;
  • tries a different route when you redial a number where the last attempt dead-ended or reached voicemail (the operator, the front desk, 0 or "representative");
  • patches you in with transfer_to once a person answers, if the call needs your voice or your identity, so you never hear the hold music.

Paste this into your agent:

Call Lakeside Internet's support line, get through the menu to a person about a billing error on my account, and call me at 214-555-0147 when someone picks up.

See how AI calls handle phone menus and hold and hold, then patch you in.

What it costs

$1 per answered call, including the first 2 minutes, then $0.40 a minute, 30-minute cap ($12.20). A line that doesn't answer costs nothing.

Questions

Does pressing 0 still work?

Often, but not always. Many menus send 0 to an operator or the front desk; some ignore it or replay the menu. If 0 doesn't work, saying "representative" or "agent" at a voice menu is the next thing to try.

Why is the sales line answered faster?

Businesses staff the lines that bring in money more heavily than support or billing. A sales or new-customer rep can usually transfer you to the right department, though some transfers drop. Ask for the direct number before they transfer you.

When is hold time shortest?

Usually right when the line opens and mid-week (Tuesday to Thursday). Mondays, lunchtime and the days after a holiday tend to be busiest.

Can an AI agent wait on hold for me?

Yes. With CallForMe, your agent places the call, the assistant works the menu and waits on hold, and with transfer_to your phone rings only once a person picks up. You pay $1 per answered call including the first 2 minutes, then $0.40 a minute, up to 30 minutes.
