Call a college financial aid or registrar office with AI

Short answer: Tell your agent the school, the office and what you need. CallForMe calls, works the menu, waits on hold and gets the general answers: deadlines, which form, office hours, what's missing. Questions about a student's own record are different: college records belong to the student under FERPA, so pass the student's number as transfer_to and the assistant connects them when the office verifies.

“Call the financial aid office at Lakeside State University and ask what the deadline is to submit verification documents for the spring term, which forms they accept, and whether they can be uploaded online. If they need to look up my file, connect me at (214) 555-0147.”

Financial aid, the registrar, the bursar and housing all tend to answer the phone the same way: a long menu, a queue that's worst the week before a term starts, and a question your agent can often answer without you. Let it make the call, and only step in when the office needs the student.

What your agent can ask without the student

  • Deadlines: verification documents, enrollment, refunds, add/drop, housing.
  • Which form, where it's submitted, and whether it can be uploaded.
  • Office hours, walk-in times, and the right department for your question.
  • What a hold or a status message means in general, and how to clear it.

When the student needs to be on the line

College education records belong to the student. Once a student turns 18 or attends a college, FERPA rights move from the parents to the student (U.S. Department of Education), and a school needs signed, dated written consent before it discloses information from a student's records, with some listed exceptions (34 CFR 99.30). In practice, the office verifies the student before talking about a file: an aid package, grades, a balance, a transcript request.

So give your agent the student's number as transfer_to. The assistant asks the general questions first, then connects the student when the office needs to verify them.

Paste this into your agent

Call the financial aid office at Lakeside State University and ask what the deadline is to submit verification documents for the spring term, which forms they accept, and whether they can be uploaded online. If they need to look up my file, connect me at (214) 555-0147.

More ideas:

  • "Call the registrar and ask how to order an official transcript, what it costs, and how long it takes to arrive."
  • "Call campus housing and ask when spring move-in starts and whether early arrival is possible."

What it costs

$1 per answered call, including the first 2 minutes, then $0.40 a minute, up to 30 minutes. A 10-minute call with a hold is $4.20. A call nobody answers costs nothing.

Questions

Will the office talk to an assistant about my record?

General questions, yes. For anything from a student's education record, federal rules require the student's signed, dated written consent before the school discloses it, with some exceptions. Expect them to verify the student: pass the student's number as transfer_to and the assistant connects them.

Can a parent's agent make the call?

It can ask the general questions. Once a student is in college, FERPA rights belong to the student, so the office will usually want the student on the line, or a release the student signed, before discussing their file.

What should I give the agent?

The school and office, the term, and your question. Keep student ID numbers, Social Security numbers and passwords out of the request: the assistant never reads them aloud, and connects the student when they're needed.

When are these offices hardest to reach?

Usually right before a term starts and around aid deadlines. Have your agent call shortly after the office opens, or schedule the call with call_at.
