Have AI call caterers for you

Short answer: Give your agent the date, headcount, pickup or delivery address, and any dietary needs. CallForMe calls caterers near you and asks each for the price per person, the minimum order, delivery and service fees, dietary options and the order deadline. Holiday dates fill early, so call a few at once. Each answered call costs $1.

“Call 4 caterers near 75024 for Thanksgiving dinner for 25 people on Thursday, November 26, delivered. 4 guests are vegetarian and 1 is gluten free. Ask the price per person, the minimum order, the delivery fee, and the last day to order.”

Catering a holiday meal or an office party is a comparison problem. Every caterer prices differently (per person, per tray, per package), adds different fees, and closes holiday orders on a different day. Your agent can ask the same questions of several caterers and give you one table before the deadlines pass.

Call 4 caterers near 75024 for Thanksgiving dinner for 25 people on Thursday, November 26, delivered. 4 guests are vegetarian and 1 is gluten free. Ask the price per person, the minimum order, the delivery fee, and the last day to order.

Other catering calls:

  • "Ask 3 caterers near 30318 for a buffet quote for a holiday office party, 40 people, Friday December 11 at noon. Pickup or delivery, and do they bring serving equipment?"
  • "Call bakeries and caterers about 6 dozen assorted cookies and 2 pies for pickup on December 23. Price and order deadline."
  • "Ask caterers what a taco bar for 60 guests costs for a Saturday graduation party in May, and whether staff to serve is extra."

What the caterer will ask

plan_call has no catering category. A goal with a price word ("price", "how much", "quote") fires the generic quote category, which wants the exact item or quantity. A headcount like "25 people" satisfies it, so the example prompt above gets no flags.

That's a gap to cover yourself: plan_call won't remind your agent about the date, the headcount or the address for a catering call the way it does for a restaurant reservation. Put all three in the goal or details every time. Without a price word ("can you cater Thanksgiving for 25?"), no category fires at all.

Other things caterers ask:

  • What time is the event, and how long?
  • Pickup, drop-off, or full service with staff?
  • Buffet, family style, or individual boxes?
  • Do you need plates, utensils, chafing dishes?
  • Any allergies, and how many guests for each?

Questions worth asking

  • Price per person (or per tray), and what's included.
  • The minimum order or minimum headcount.
  • Delivery fee, setup fee, service charge, and whether gratuity is added.
  • Vegetarian, gluten free or allergy options, and how they're labeled.
  • The last day to order and to change the headcount.
  • Deposit amount and the cancellation policy.

Holiday deadlines

Thanksgiving 2026 is Thursday, November 26. Caterers and restaurants that sell holiday meals set their own order cutoffs, and popular ones stop taking orders early when they're full. The same goes for December party dates, especially Fridays. Have your agent ask each caterer for the order deadline and the headcount-change deadline, and record both, so you know how long you have to decide.

How call_around works for caterers

query: "caterer" near the event address with count: 4 and no stop_after gets every caterer's answers to the same questions. If any caterer that can do the date is fine, use stop_after: 1 and say what you'd accept in constraints, like "up to $30 a person, delivered." Put the headcount, date, time and dietary needs in details so no call stops to ask.

What trips these calls up

  • Per tray vs per person. "A tray feeds 10 to 12" isn't a per-person price. Ask the caterer to price your headcount.
  • The fees at the end. Service charges and delivery fees can add a large share to the food price. Ask for the total for your order, delivered.
  • "Email us the details." Some caterers only quote by email. The assistant records the address and what they need.
  • Restaurants that cater. Their phone line is the dining room. Ask for the catering manager and a good time to call back.

What it costs

$1 per caterer that answers, including the first 2 minutes. Caterers often talk through the menu: a 5-minute call bills $1 + 3 x $0.40 = $2.20. Four caterers at 2, 3, 5 and 6 minutes: $1 + $1.40 + $2.20 + $2.60 = $7.20. A caterer who doesn't pick up costs nothing.

Questions

Will caterers quote over the phone?

Most give a price per person or per tray for their standard menus, plus the minimum and the delivery fee. Custom menus and full-service events usually get a written quote after the call.

Can it place the order?

It can tell a caterer you'd like to book and ask how to confirm. Most want a deposit by card, and the assistant never reads card numbers, so you pay through their link or by calling back.

What about allergies?

Name each one in details. The assistant asks whether the kitchen can handle it and how dishes are labeled, and reports the answer word for word. For a serious allergy, confirm with the caterer yourself.

When should I call for Thanksgiving?

Earlier than you think. Many caterers set an order deadline for holiday meals and stop taking orders when the kitchen is full. Ask each one for theirs.
